Let’s get started with the most important first…

How to Set Up Yealink Phone IP?

First, let’s review how to set up a regular IP phone issued by Yealink!

1. Assemble the Yealink Phone

The first step is to verify that your phone is set up and ready to be registered. Before bringing your system online, all of your Yealink phone equipment must be connected and set in place.

The delivery box of your Yealink IP phone must contain the following:

  • The Yealink IP phone
  • A cord for the handset
  • The phone power cable
  • An Ethernet cable adapter

If you have all of that, then you are ready to go into setup.

However, if your unit has a “Ready to Call” label, then you can skip straight to the setup steps, since it has already been configured by a technician.

How to Assemble Yealink Phone Equipment:

Follow these simple steps to assemble your Yealink phone:

1.1 – Attach the Phone Stand:

Align the phone stand with the slots on the back of the phone casing. Verify the stand is secured and does not move freely when touching the handset.

To achieve this, slide the stand upward until it clicks securely into place!

1.2 – Connect the Handset:

connect the handset:

Plug one end of the Yealink phone cord into the handset jack of the stand, found on the rear or side panel, based on the model and make of your Yealink device.

Then, connect the other end to the handset port to close the connection.

1.3 – Check All Connections:

Verify that the stand is firmly attached and the handset cord is securely connected, then install the power adapter of the phone to test the functionality.

Check if there are interruptions in the power supply before proceeding with the internet setup.

2. Connect the Yealink Phone to the Internet

The next step is to connect the phone to the internet. You can either conduct an Ethernet setup traditionally or take advantage of the WPS feature and pair the unit to Wi-Fi.

2.1 – How to Set Up a Yealink IP Phone Over Ethernet?

The next stage of the setup involves establishing an internet connection between your Yealink phone and the network router.

The more reliable connection method is to use a direct Ethernet connection between the phone’s LAN port and the router.

  • Connect one end of the Ethernet cable to the phone’s LAN port.
  • Plug the other end of the cable into a yellow port on the router.

2.2 – How to Set Up a Yealink IP Phone Over Wi-Fi?

Well, if you are wondering how to set up a Yealink phone to WiFi, the answer is simple–WPS

Yealink IP phones with an integrated Wi-Fi come with the “WPS” function (Wireless Protected Setup), which allows them to remotely connect with a nearby router.

The following Yealink phone models support WPS:

  • T53W
  • T54W
  • T58W
  • VP59
  • T46U
  • and more…

You can check if your model supports Wi-Fi connection by consulting the user manual or by searching for the version of your model online.

The setup is extremely simple; all you have to do is press the WPS button on the phone for 3 seconds and press the WPS button on the router within 60 seconds.

If the setup is successful, the phone will connect and start setting up automatically, similar to Ethernet.

3. Register the Yealink IP Phone

The final step in setting up your Yealink IP phone is completing the server’s registration.

The procedure is relatively simple and consists of several steps, so keep reading as we guide you through the procedure.

3.1 – Acquire the Registration Information:

acquire the registration information:

Write down the phone extension number, registration name, and password from your Yeastar PBX.

Note the PBX domain name and SIP registration port, typically set to 5060. Verify all details are accurate before proceeding with the setup.

3.2 – Confirm Transport Protocol:

Determine if the extension uses TCP or TLS protocol. Ensure the PBX has the SIP TCP port enabled for TCP or TLS enabled for TLS. Then, confirm compatibility to prevent registration errors during setup.

3.3 – Check the Phone’s IP Address:

Press the OK or Menu button on the Yealink phone (e.g., SIP-T53W).

Navigate to Status or Information to view the IP address (e.g., 192.168.x.x) on the screen. Record this address for web interface access.

3.4 – Access the Web Interface:

Enter the phone’s IP address in a browser on a computer within the same network. Log in using default credentials (username: admin, password: admin).

Then, verify the connection is secure before proceeding to configure any of the settings.

3.5 – Configure the Registration Settings:

configure the registration settings:

Next, navigate to Account → Register in the web interface and input the extension number, registration name, password, PBX domain, and SIP port.

Save settings to initiate registration with the Yeastar PBX.

3.6 – Verify the Registration:

The final step is to check the phone’s display or web interface to confirm that the registration was successful.

Test the functionality by attempting to dial a number and ensure there are no underlying issues with the connectivity

Note: Refer to this Yealink detailed setup guide if you have the SIP-T53W, another “T” model, or a phone that uses the 96.85.0.5 firmware.

How to Set Up a Yealink Phone Handset?

Now, let’s proceed with the rather simpler, but similarly demanding Yealink handset setup!

1. Connect the Yealink Phone to Power

First, you must supply power to the Yealink handset, using the provided handset cord in the delivery package.

There is a small A/C input on the back of the handset that connects with the 12V prong adapter, so connect the cable on both ends to start up the handset.

Verify the handset is positioned on the base and wait until the prompt requests on the screen have loaded, and you are ready to proceed with the setup.

2. Connect the Yealink to the Network

Similar to IP phones, handsets can also be set up with either Wi-Fi or Ethernet:

#1 – Ethernet Connection Setup:

ethernet connection setup:

Connect one end to the LAN port on the base station, located on the rear panel, and plug the other end into a yellow port on your network router or switch.

Double-check if the base station LED lights up, and wait until the connection is verified by the network.

#2 – Wi-Fi Connection Setup (If Supported):

Certain Yealink W73P models support Wi-Fi connection via WPS, as the IP units do.

Confirm if your model supports Wi-Fi by checking the user manual or contacting the Yealink support team.

  • To conduct a WPS setup, press the “WPS” button on the handset base and within 60 seconds, press the identical-looking “WPS” button on your network router.

Note: If the setup was successful, the network lamp on your handset should illuminate.

3. Register the Yealink W73P Phone

As discussed earlier during the IP phone setup guide, registering your handset is conducted in a similar way, except for the details used during the configuration.

Except, all of the details will be registered through the Yealink handset itself and not from the GUI, as we did with the IP phone.

Follow these steps to complete the device registration of your Yealink handset:

  1. First, hold the “Registration/Paging” button on the handset.
  2. Once the LED flashes, go to “Settings” or “Handset Setup”.
  3. Wait until the handset starts searching for the base station.
  4. Enter the base PIN, which is “0000” or “1234” set by default.
  5. Wait for the confirmation message and test the handset unit.

Keep in mind that the registration process may vary slightly depending on the firmware version or the specific Yealink model of your Yealink headset.

If you have any questions regarding the setup or the initialization of some features, it is best to contact Yealink support for assistance.
